Start small. Scale inspection operations without changing systems

Size the plan on structure, not enthusiasm

The variables that actually determine which plan fits are structural: how many people need to complete or review inspections, whether the operation divides into branches, and how many inspections run in a month. Those are usually knowable in advance, and they change slowly.

Estimating from ambition rather than from current structure is the common error. Inspection volume tends to grow with the operation rather than with intent, and plans can be changed later — so the current shape of the team is the better basis.

Start with one workflow before committing

The most reliable way to choose is to run a real inspection end to end — template, field capture, review, report — on a real property. That surfaces the requirements that matter to your operation faster than any feature comparison, and often changes which plan looks right.

It also tests the part that matters most: whether the field application works in your buildings, with your inspectors, in your conditions.

What tends to be underestimated

Two requirements are routinely discovered late. The first is review capacity: organisations plan for inspectors and forget the people who check completed work before it is issued. The second is reporting configuration, which is where the difference between an acceptable document and a client-ready one usually lives.

Both are worth establishing during a trial rather than after a plan has been chosen around inspector headcount alone.
