1. Scope and controller
This policy applies to the MeetInspect website, web workspace and mobile applications. “MeetInspect”, “we” and “us” refer to the operator of the MeetInspect service. A customer organisation controls the inspection and contact information its members place in a workspace; MeetInspect processes that information to provide the service. Questions can be sent to support@meetinspect.com.
2. Information we collect
Account and workspace information. Name, email address, account identifier, role, workspace name, member and branch assignments, authentication records and notification preferences.
Inspection and customer content. Property and physical addresses, client and property-owner contact details entered by a workspace member, inspection dates, templates, answers, notes, corrective actions, signatures, reports, photos, videos, audio recorded with videos, and precise coordinates when location features or coordinate stamps are enabled.
Billing information. Subscription status, product level, billing contact and address, tax identifier, invoice details and Stripe customer or subscription identifiers. Payment-card details are entered directly with Stripe and are not received or stored by MeetInspect.
Device and diagnostics. Push-notification token and, only when “Share App Diagnostics” is enabled in the iOS app, crash or hang reports, app version, iOS version and device model. MeetInspect does not use these details for advertising or cross-app tracking.
Website information. Security logs and necessary cookie preferences. Optional analytics or advertising cookies remain disabled until a website visitor consents through the cookie controls.
3. How information is used
We use information to authenticate accounts; operate and secure workspaces; sync offline fieldwork; generate, store and deliver inspection reports; send requested service notifications and emails; administer subscriptions; respond to support requests; prevent abuse; comply with law; and improve reliability. We do not sell personal information.
If an authorised workspace administrator asks MeetInspect AI to generate a template, the text they submit is sent to OpenAI to produce that template. Administrators should not include unnecessary personal or confidential information in an AI prompt.
4. Service providers and disclosure
We use service providers only as needed to operate MeetInspect: Supabase for authentication, databases and backend functions; Cloudflare R2 for inspection media and reports; Stripe for web billing; Resend for requested service email; OpenAI for administrator-initiated template generation; Apple for iOS distribution and push notifications; and Vercel for the public website. These providers process information under their own security and privacy obligations. We may also disclose information where required by law, to protect the service or its users, or during a corporate transaction subject to appropriate safeguards.
5. Retention, security and deletion
Workspace content is retained while an account or workspace is active and as needed to provide the service. Optional client diagnostic reports are retained for no longer than 90 days. Billing and transaction records may be retained where tax, accounting or fraud-prevention law requires it. We use access controls, encrypted network transport and organisation-scoped authorisation, but no internet service can guarantee absolute security.
Account holders can initiate deletion inside the iOS app from Settings → Account → Delete Account. Deletion removes the account and associated personal data, cancels subscriptions owned solely by that account, and removes media for a solely-owned workspace. A workspace owner must transfer ownership before deleting an account when other members still depend on that workspace. Data that law requires us to keep is restricted and retained only for the required period.
6. Your choices and rights
You can decline camera, microphone, location, photo-library, notification and diagnostic permissions. Features that need a declined permission may be unavailable, but unrelated features remain usable. Depending on your location, you may have rights to access, correct, export, object to or delete personal information. Workspace members should first contact their workspace administrator for customer-controlled inspection records; they may also contact MeetInspect.
7. Children and international processing
MeetInspect is a business productivity service and is not directed to children. Information may be processed in countries where our providers operate. Where required, we use recognised contractual and legal safeguards for international transfers.
8. Changes to this policy
We may update this policy as the service or law changes. The effective date above will be updated, and material changes will be communicated through the service or by email when appropriate.
